Service Operations Administrator Trainee

Kalmar is looking for a Service Operations Administrator Trainee to join our team!
In this role, you will be responsible for service sales administration, invoicing, and on-call resource planning to support effective service delivery. The role includes acting as a liaison between clients, service personnel, and administrative teams, ensuring smooth coordination of travel logistics, timely invoicing, and efficient management of service offers and proposals. The administrator contributes to process improvements, enhancing service operations and customer satisfaction.

Main tasks and responsibilities
1. Service Sales Support
- Create and manage service offers in SAP
- Prepare and submit proposals for tenders (appels d’offres)
- Support the Service Operations Manager in tracking sales opportunities and performance
- Maintain organized records of past tenders and offers to streamline future proposal preparation.
2. Oncall Invoicing and Payment Follow-Up
- Prepare and issue invoices according to the terms and conditions of on-call agreements
- Monitor outstanding payments and follow up with clients for timely collections
- Maintain up-to-date records of invoicing and payment status
- Follow up work-in-progress with service coordinators and ensure accurate revenue recognition.
3. On-Call Resource Planning and Coordination
- Plan and allocate on-call resources based on service demands
- Coordinate with clients to gather travel documentation requirements
- Work closely with the administrative assistant to arrange travel, including flight and hotel bookings
- Provide necessary travel documents and schedules to service personnel.
4. Client and Team Communication
- Serve as the primary point of contact for clients regarding on-call service logistics
- Coordinate with internal teams to ensure alignment on service planning and execution
- Provide status updates and resolve any logistical issues that may arise during service delivery.
5. Stock Inventory Support
- Generate SAP stock inventory documents and assist with physical counting activities.
- Record and report discrepancies.
What you’ll need to succeed
Education:
- Typically University level - Master’s degree in Business Administration, Sales, Corporate management or similar.
Experience and Skills:
- Recent graduates encouraged to apply
- Strong organizational and time management skills
- Excellent communication and coordination abilities
- Basic understanding of SAP is advantageous.
Language Skills:
- Proficiency in French (spoken and written)
- Good level of English.

Contract and Career Progression
This is a 6-month pre-hire internship (Anapec contract). Upon successful completion and evaluation, the position will transition into a permanent contract (CDI).
