Senior Logistics Operator

Purpose of the position

 

New order processing for Ottawa based parts facility.  Manage all orders for specific customer shipping requests, ship completes and order consolidation with stock orders as needed. Shipping document preparation, Invoicing and overall order control.
 

Main tasks and responsibilities

 

  • Responsible for order generation and packet preparation for the warehouse floor for all Kalmar orders at the Ottawa site.
  • Manage received back orders for consolidation of orders.
  • Preparation of shipping documents as required.
  • Invoicing accuracy and completeness from warehouse.
  • Coordinating transportation providers to ensure prompt and proper movement of shipments.
  • Responding to customer inquiries and referring clients to the proper channels 
  • Reviewing purchase orders and shipping documents to ensure accuracy
  • Making special shipping arrangements as necessary
  • Tracking and correcting shipping errors
  • Preparing bills and invoices
  • Managing distribution and shipment budgets
  • Ensuring that the quality of all services provided meets the required standards
  • Developing processes that make the supply chain more efficient and organized 
  • Processing 3rd Party Invoices into SAP (Fleet)
  • Entering Weller Direct Ships into SAP
  • Processing Direct Ship Invoices in basware and also approving
  • PO & Pricing from SAP to basware. Review/Approve
  • Control the Logistics team phone system. Ring Central, forward any issues to the correct person on the team
  • Send in tickets for request to update ship to address that are not in SAP correctly as needed
  • Monitor Direct Ship Invoices email and process in SAP (adding logistic and freight charges onto the orders)
  • BOL Filing/Spreadsheet
  • Spreadsheet for mis-ships/mis-pulls for warehouse
  • File/send credits that have been processed
  • Provide support for the daily folders and ensure all orders are complete within the system
  • File all documentation necessary for keeping for auditing purposes. Keep a log for the warehouse to help support the need for training/awareness
  • Process basware request as needed
     

What you’ll need to succeed

 

Education:

 

  • Minimum of high school diploma or GED required.

 

Experience:

 

  • Prior experience in the distribution and transportation business preferred

 

Competencies:

 

  • MS Office, Google Suite, SAP a plus
  • Effective communication, including writing, speaking and interpersonal communication
  • Quick critical thinking and problem-solving abilities
  • Excellent customer service and client relations skills
  • Good collaboration and teamwork skills
  • Great leadership and goal-setting skills
  • Ability to work in a fast paced environment 
  • Advanced data analysis and data visualization 
  • Expert inventory management
  • Ability to use computers, software and other technology for inventory and communication purposes
  • Understanding the supply chain including common obstacles and effective solutions
