Assistant, Invoice processing (Entry-level)

We at Kalmar are seeking a talented Assistant, Invoice Processing to deliver Invoice to Pay services in line with customers’ needs and expectations.
The position requires working from the office for the first 6 months.
Main tasks and responsibilities
- Perform transactional activities with limited supervision related to the Invoice To Pay area.
- Validate invoices received in the invoice processing system.
- Compare invoices against purchase orders and goods receipts.
- Manually match invoices to purchase orders and goods receipts.
- Support the invoice review and approval workflow.
- Resolve invoice processing queries related to additional costs, price, and quantity.
- Resolve queries in the transferred queue.
- Support the ITP Specialist and Team Lead with GRIR reconciliations.
- Maintain good working relationships.
- Deliver services in line with agreed controls and procedures.
- Recognize unusual events or consistent problems and work with the Team Leader to resolve issues.
- Ensure all documentation is up-to-date and accurate.
- Perform any other tasks assigned by the line manager related to areas of accountability.
What you’ll need to succeed
- Minimum Bachelor's degree in Finance or Business, completed or currently in progress.
- 0 to 3 years of experience in the ITP area.
- Finance traineeship.
- Full professional proficiency in written and oral English required.
- Experience handling simple to complex queries.
- Strong customer service focus and interpersonal skills.
- Attention to detail.
- Strong analytical, problem-solving, organizational, and communication skills.
- Hands-on experience working with ERP/Cloud systems preferred.
- Proficiency in Google Workspace (Sheets, Slides, Docs) or alternatively Microsoft Office (Outlook, Excel, Word, PowerPoint).
- Proactive in taking initiative to improve personal and team work practices.
- Effective communicator in a professional manner.
- Strong work ethic and ability to comply with internal controls and policies.
