Junior Specialist, Invoice to Pay

We at Kalmar are seeking a talented Junior Specialist, Invoice to Pay to deliver ITP services in line with customers’ needs and expectations.
Main tasks and responsibilities
- Perform transactional activities with supervision related to the ITP area.
- Respond to inquiries from external parties and internal stakeholders in a timely, professional, and efficient manner.
- Provide first-line support for ITP-related inquiries across various communication channels (e.g., tickets, chat, phone, email).
- Ensure follow-up and end-to-end resolution of inquiries, involving other departments and teams when applicable and required.
- Identify and escalate unresolved issues to the Team Leader, collaborating to determine appropriate actions and solutions.
- Perform invoice processing activities, ensuring timely and accurate handling of invoices, and follow work allocations from Team Leads.
- Reconcile vendor statements, follow up on missing invoices, and coordinate with the business to resolve unprocessed invoices.
- Maintain strong working relationships with internal teams, including Finance, Procurement, and other cross-functional groups.
- Uphold a high level of customer satisfaction, contributing to the company’s positive brand reputation.
- Deliver services in line with company policies, controls, procedures, and SLAs.
- Actively participate in building and enhancing the ITP function in close partnership with the project team.
- Support transition activities, including knowledge transfer and shadowing, to ensure smooth handover of processes when applicable.
- Maintain accurate, up-to-date documentation within internal systems to support operational efficiency and compliance.
- Complete any additional tasks as assigned by the line manager, contributing to the continued success of the ITP function.
What you’ll need to succeed
- Ongoing or obtained bachelor’s degree in Finance or Business Management.
- Traineeship or experience in ITP or a relevant Finance area.
- Experience with handling simple to complex queries.
- Strong customer service focus and interpersonal skills.
- Analytical, problem-solving, organizational, and communication skills.
- Hands-on experience working with ERP/Cloud systems.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and/or Google Workspace.
- Proactive in taking initiative to improve personal and team work practices.
- Strong communication skills, with the ability to communicate in a professional manner.
- Strong work ethic with the ability to comply with internal controls and policies.
- Full professional proficiency in written and oral English.
