Junior Specialist, Invoice to Pay

We at Kalmar are seeking a talented Junior Specialist, Invoice to Pay to deliver ITP services in line with customers’ needs and expectations.
The position requires working from the office for the first 6 months.
Main tasks and responsibilities
- Perform transactional activities related to the ITP area under supervision.
- Respond to inquiries from external parties and internal stakeholders in a timely, professional, and efficient manner.
- Provide first-line support for ITP-related inquiries across various communication channels (e.g., tickets, chat, phone, email).
- Ensure follow-up and end-to-end resolution of inquiries, involving other departments and teams as necessary.
- Perform invoice processing activities, ensuring timely and accurate handling of invoices while adhering to work allocations from Team Leads.
- Reconcile vendor statements, follow up on missing invoices, and coordinate with the business to resolve unprocessed invoices.
- Support transition activities, including knowledge transfer and shadowing, to ensure a smooth handover of processes when applicable.
- Maintain accurate, up-to-date documentation within internal systems to support operational efficiency and compliance.
- Ensure data integrity and accuracy within company systems, following best practices for data management.
What you’ll need to succeed
- Ongoing or completed Bachelor's degree in Finance or Business Management.
- Traineeship or experience in ITP or a relevant finance area.
- Experience handling simple to complex queries.
- Strong customer service focus and interpersonal skills.
- Analytical, problem-solving, organizational, and communication skills.
- Hands-on experience working with ERP/Cloud systems.
- Proficiency in Microsoft Office (Excel, Word, PPT) and/or Google Workspace.
- Ability to take initiative in a proactive manner to improve personal and team work practices.
- Effective communicator with a professional demeanor.
- Strong work ethic with the ability to comply with internal controls and policies.
- Full professional proficiency in written and oral English.
